Our client is a family-owned company operating throughout Canada and the United States of America, and is the storage and logistics operator for Provincial Fruit Co. Limited.

The Executive Assistant will provide high-level administrative support to the Sr. Vice President, Managing Director ensuring efficient operations and facilitating effective decision-making. The ideal candidate is proactive, organized, and capable of managing a variety of tasks in a fast-paced and demanding environment.

Location: Hwy 27 & Hwy 7 area in office 5 days a week

Salary Range offered based on experience: $70,000 - $80,000

Working Hours: 9am-5pm While typical office hours are expected, occasional after-hours work may be required during critical periods or urgent tasks.

Organizational Skills: Ability to manage multiple tasks, prioritize, and meet deadlines.

Attention to Detail: Ensures accuracy and precision in all work, including documentation and scheduling.

Time Management: Efficiently handles scheduling and ensures Sr. Vice President, Managing Director and corresponding team stays on task and on time.

Technology Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint), calendar management tools (Outlook, Google Calendar), and communication platforms (Zoom, Teams).

Discretion: Maintains confidentiality of sensitive company information and executive discussions.

Candidate Qualifications

·         Minimum 5 years of experience in an administrative/ professional support function in a fast-paced environment and supporting C-suite executives, dealing with moderately complex issues and managing conflicting priorities

·         Extremely organized with great attention to detail and excellent grammar skills. Ability to anticipate needs and possess a high degree of initiative to begin action independently and take responsibility for follow through on actions.

·         Advanced PC skills (MS Office, Excel, Word, PowerPoint and Outlook)

·         Exceptionally strong communication skills, both written and verbal

·         Strong writing and editing skills for correspondence and presentations 

·         Strong organizational and administrative skills

·         Detail orientation and ability to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines

·         Ability to deal with clients in a professional and courteous manner, and to develop and leverage professional working relationships

·         Ability to work both independently, as well as to play a key role in building a cohesive team

·         Ability to deal with confidential materials in an appropriate manner

·         Ability to maintain a positive attitude and composed demeanor especially during stressful periods

 

Education: Bachelor’s degree in Business Administration, Communications, or a related field.

Certifications: Certification as a Professional Administrative Assistant (CAP) or similar is preferred.

 

Environment: This is an office-based position in a professional environment.

Physical Demands: Frequent sitting, occasional standing, and light lifting (up to 10 lbs). Regular use of computer and office equipment. Taking hand-written notes as required.

Travel Requirements: May be required to occasionally travel to support offsite executive meetings.
