Executive Assistant

Job Summary

Are you a high-energy, organized, and professional individual looking to make a significant impact in a global organization? We are seeking an exceptional Executive Assistant to support our Color, Additives & Inks President. This role is based at our world headquarters in Avon Lake, Ohio.
As the Executive Assistant, you will be the first point of contact for many employees, clients, and industry partners. You will embody and convey our highest values, maintaining a high bar of professionalism and a proactive approach. Essential Functions

•    Provides diversified administrative support including scheduling, travel arrangements, and coordination of meetings.
•    Supports personal needs such as scheduling appointments/meetings and running errands as required.
•    Serves as a liaison to internal and external stakeholders and interacts with the most senior leaders in the market.
•    Communicates as needed on behalf of the President, including composing, editing, managing, and documenting correspondence at executive levels.
•    Consistently follows through on deadlines and projects, taking initiative on all work requests, providing status updates to leadership as needed.
•    Anticipates needs and issues; recommends and takes action to proactively resolve challenges.
•    Prepares confidential and sensitive documentation and correspondence that may be distributed to various internal and external stakeholders.
•    Prepares presentations within PowerPoint while sourcing information from other systems and/or databases (i.e., Excel, Word, etc.). Edit and proofread complex documents for accuracy.
•    Plans and supports meetings onsite and offsite, including arranging all conference rooms, site details, catering, room setup, managing the agenda and annotating meeting minutes.
•    Develops itineraries and agendas, and compiles documents for travel-related meetings (including assisting with passports, visas, and invitation letters).
•    Organize and manage the President’s calendar, scheduling meetings, resolving conflicts, coordinating with stakeholders, setting reminders, integrating travel plans, monitoring and prioritizing the email inbox, drafting and sending emails, tracking follow-ups, filtering spam, and handling sensitive information with discretion.
•    Manages and submits expense reports for President.
•    Performs document management and signature management, including use of electronic tools such as Adobe and DocuSign.
•    Manages sensitive matters with a high degree of confidentiality and discretion.
•    Collaborates and supports other executive assistants while ensuring timely and accurate partnership.
•    Manages information flow in a timely and accurate manner.
•    Other Duties: Other projects/duties as assigned.

Education and Experience

Education: Bachelor’s degree required or equivalent work experience.
Experience: 3+ years of relevant executive assistant experience in a similar role within a global organization.

•    Proficiency in Microsoft Office and other tools: Skilled in using Outlook, Word, Excel, PowerPoint, Adobe Acrobat, and social media platforms.
•    Positive and engaging demeanor: Exhibits high energy, a growth mindset, proactivity, and the ability to get along well with others.
