***This is a Hybrid position requiring 2 days in the Kennesaw, Ga Office***
As an Executive Assistant, you will be responsible for providing administrative support to the leadership in Global Operations. In this position, your duties will include calendar management, coordinating and booking national and international business travel for employees, arranging and coordinating meeting logistics and set-up, ordering office supplies, preparing reports and presentation materials, manage reporting and logistics for organizational activities, invoices, and special projects.
Essential Duties and Responsibilities:
Administrative duties & general administration for Leadership support staff, including meeting coordination, travel booking & administration, and staff training. Responsible for day-to-day tasks supporting Vice President and the leadership organization. Examples include making travel arrangements, calendar maintenance, scheduling and coordinating meetings with all participants, departmental reporting.
Using business software applications (e.g., Microsoft word, PowerPoint and excel) Will prepare and present communications, reports, & presentations for Leadership & Site personnel, and maintain presentation materials and records digitally. Prepares /Formats/Reviews PowerPoint presentations and/or other digital materials.
Responsible for Supporting and Facilitating Employee Engagement Activities.
Coordinating on-site and off-site office events (scheduling, reservations, food & beverage ordering, A/V equipment).
Maintaining office supply inventory, including ordering and upkeep.
Manages and Tracks Expense Reports.
Tracks overtime across centers against budget.
Manages and Tracks Identity and Security equipment (Badges, files, records, parking passes, phones, keys etc.).
Manages and Tracks logistics, invoices, PO’s expense reports, cost tracking, etc.
Establish and maintain a working knowledge of VISIO for Org Chart Management, a high-level of MS Project for tracking actions and milestones and a high-level of PowerPoint building expertise.
Must have a keen eye to identify opportunities for process improvements and standards, and the ability to execute on those positive changes.
Manages and coordinates contact center agent schedules including time off, breaks, phone queue assignments, etc.
Other Duties: Performs other duties as assigned by supervisor.
Minimum Qualifications:
• High school graduate diploma or equivalent
• 5 years of experience in an administrative assistant role
• 3 years of experience supporting a senior executive role
Preferred Qualifications:
• Bachelor's Degree
• Administrative Assistant experience within finance department• Proficiency with Windows Microsoft Office products, especially high level of proficiency with Microsoft Excel, PowerPoint, Word and Outlook
• High level of organizational, detail, planning and coordination skills
• Problem solving skills and the ability to prioritize work
• Ability to organize information and handle multiple projects simultaneously
• Excellent verbal and written communication and interpersonal skills
• Ability to interface with a variety of personnel, levels, including CEOs and across cultural backgrounds
• Comfortable building and maintaining effective relationships with personnel in remote locations
• Ability to maintain confidentiality
• Ability to maintain a flexible schedule
