Description We are seeking an Executive Assistant based in Sarasota, Florida, to provide high level support within our team. The role involves comprehensive administrative tasks, managing calendars, coordinating meetings, and creating efficiencies. The successful candidate will interact professionally with all levels of staff and will maintain the highest level of professionalism, confidentiality, and integrity.
Responsibilities:
• Provide high-level administrative support, ensuring smooth operations within the team.
• Manage complex calendars, scheduling meetings and appointments as necessary.
• Coordinate meetings across various platforms, including Zoom and Teams, as well as in-person.
• Compose and distribute professional correspondence, memoranda, and e-mails, demonstrating initiative and attention to detail.
• Act as a liaison between internal teams and external contacts, such as consultants and portfolio companies.
• Create and prepare PowerPoint presentations for meetings, including print, binding, and finishing tasks.
• Maintain a highly organized filing system for correspondence and other records.
• Coordinate travel arrangements for the CEO, ensuring all plans are finalized and approved.
• Reconcile credit cards, process expense reports and invoices for executives, ensuring correct account codes are used and required signatures are obtained.
• Utilize interpersonal relations skills and office management software to streamline processes and workflows. Requirements
• Experience in Claim Administration
• Proficiency in Cobra Administration
• Demonstrated skills in Customer Relationship Management (CRM)
• Ability to manage multiple tasks and meet deadlines
• Excellent oral and written communication skills
• Strong organizational and planning skills
• Detail-oriented with a high level of accuracy in work
• Ability to maintain confidentiality and handle sensitive information
• Proficient in Microsoft Office Suite
• Excellent problem-solving skills
• Ability to work independently and in a team environment
• Proven ability to manage and prioritize tasks
• Strong interpersonal skills and ability to build relationships
• Demonstrated initiative and ability to work under pressure
