Executive Assistant
Description We are in search of an Executive Assistant in the Government sector, located in North Charleston, South Carolina. This role offers a contract to hire employment opportunity. The Executive Assistant will be tasked with a variety of administrative duties and projects, primarily supporting a C-Suite level executive. Responsibilities: • Provide technical and complex administrative support with a working understanding of the functions and procedures of the finance, procurement, and property administration departments. • Organize and schedule appointments and meetings that involve both internal and external participation. Prepare schedules and inform participants while confirming dates and times. • Maintain a variety of records, including confidential, private, legal, or sensitive information. Assist in the preparation of departmental/divisional reports by gathering and summarizing information from a variety of sources. • Draft a variety of materials such as letters, memoranda, reports, and statistical data from rough drafts or instructions. Compose original correspondence and forms on routine department matters. • Assist with preparing financial forecasts and financing proposals as directed. Access databases for information and track revenues, expenditures, etc., connected with projects or obligations. • Maintain approved budgets and transaction records, including those for projects. • Handle telephone calls and visitors, screening callers, handling routine matters, providing information, or routing calls as necessary. • Process and reconcile documents for expenditures. Prepare requisitions and claims for reimbursement. Order merchandise and services from pre-approved purchase orders and within authorized spending limits. Requirements • Proficient in using ADP - Financial Services • Experienced in using Customer Relationship Management (CRM) software • Demonstrated ability in Calendar Management • Strong written and verbal Communication skills • Skilled in managing and facilitating Conference Calls • Ability to handle professional Correspondence effectively • Experience in a government sector is preferred • Proven track record as an Executive Assistant • Proficient in Microsoft Office Suite including Word, Excel, and PowerPoint • Ability to manage confidential information • Excellent organizational skills and attention to detail • Ability to multitask and prioritize tasks effectively • Strong problem-solving and analytical skills • Ability to work independently and as part of a team • Ability to work under pressure and meet deadlines • Bachelor's degree in relevant field is preferred.
