You’re a proactive, team-oriented Executive Assistant with a keen eye for detail, solid organizational and event management skills. You’re also adept at providing support to Executives, as this role reports to our Executive Vice President of Canadian Operations, providing administrative support ensuring the smooth and efficient operations of their daily activities. 

 

This role requires the ability to meet tight deadlines while managing multiple priority requests across global teams, as you’ll act as a seamless extension of the Executive and will work closely with their management teams, other Executive Assistants and Executives.  You enjoy problem solving, you’re an experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility, composure, and handle sensitive and confidential information with professionalism.

 

Understanding business priorities is second nature to you, and you have demonstrated ability to proactively anticipate needs, coordinate travel arrangements, including flights, accommodations and itineraries. You thrive in an environment where you’ve given the autonomy to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. 

 

A day in the life of our Executive Assistant includes:

Manage complex calendars and scheduling with diplomacy and discretions to support teams in multiple time zones and countries Prepare ad hoc reports and presentations – will require intermediate skills in Excel and Powerpoint Minutes/Actions follow up/general meeting management for leadership team meetings Calendar management  Manage domestic and international travel Manage expense report coordination and submission in a timely manner Organize, execute, and assist with team activities (including catering orders) – both domestic and international  Track and help drive completion of key deliverables and follow up on outstanding items Work closely with the leadership team, business partners and other Executive Assistants to provide support to the organization

 

For this role, you’ll come equipped with following experience and skills:

7+ years of experience in an administrative assistant capacity Experience with executive level calendar management Experience with domestic and/or international travel coordination Minimum of 5 years’ experience providing Executive Assistant support for senior level executives in a fast-paced environment Event planning experience is an asset Strong working knowledge of Microsoft Word, Excel, PowerPoint, and SharePoint Demonstrated experience in handling confidential information with high levels of integrity and discretion Outstanding time management and organizational skills in a demanding fast-paced environment Proven ability to prioritize and meet multiple and/or unexpected deadlines Strategic thinking skills combined with the ability to problem solve and anticipate the executive’s needs and be solution-oriented Agility and flexibility in response to changing priorities and needs with proactive follow-through Committed to contributing to a strong team culture to ensure success Develop and maintain relationships to efficiently leverage expertise Ability to multi-task and learn quickly, while being adaptable to change

 

The salary range for this position is: $60,000.00-$75,000.00
