CGI is actively seeking a highly organized, proactive, and resourceful professional to join our team as an Executive Assistant!

The ideal candidate will possess exceptional time management skills and a proven track record of providing outstanding support in a fast-paced environment.

This career opportunity requires a detail-oriented individual who can anticipate needs, manage multiple priorities, and handle confidential information with discretion. Preference is for someone willing to be in the office 5 full days a week with a successful track record of support.

This position is located in our Sacramento, CA office.

Your future duties and responsibilities:

How you'll make an impact
Executive Support: Provide administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements. Complete assigned project work and ad hoc data requests as needed.

Communication Management: Act as the primary point of contact between executives and internal/external stakeholders. Screen and direct emails and correspondence.

Document Preparation: Prepare reports, presentations, meeting agendas, and minutes. Ensure that all materials are accurate, well-organized, and completed in a timely manner. Obtain and submit signature approvals for executives in the unit.

Event Coordination: Plan, organize, and execute executive meetings, conferences, and local events, including logistics, venue selection, and catering.

Confidentiality: Handle sensitive and confidential information with the utmost discretion.

Office Management: Oversee office operations and supplies, maintaining an efficient work environment for the executives. Serve as a back-up receptionist during breaks or when the primary receptionist is out of the office.

Team Collaboration: Work closely with other administrative assistants, departments, and external partners to ensure smooth operations and effective communication.

Travel & Expense Management: Manage complex travel itineraries, accommodations, and expenses for the executive team, ensuring cost-effectiveness and efficiency.

Required qualifications to be successful in this role:

• High school diploma with 10 years of successful executive support

• Exceptional organizational and time-management skills

• Strong written and verbal communication, adept at interacting with senior leadership and external partners

• Proficient in Microsoft Office Suite and SharePoint

• Independent worker with good judgment and quick problem-solving abilities

• High professionalism, integrity, and attention to detail

• Maintains confidentiality and discretion

• Calm under pressure, resolving issues swiftly and professionally

• Flexible with working outside business hours

• Builds and nurtures relationships across the enterprise and with key stakeholders

• Creative and proactive in improving efficiency and organization

• Energetic, with executive presence and a positive attitude


Minimum Education Required:

High School Diploma/GED

The determination of this range includes various factors not limited to skill set, level, experience, relevant training, and licensure and certifications. To support the ability to reward for merit-based performance, CGI typically does not hire individuals at or near the top of the range for their role. Compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range for this role in the U.S. is $68,100 - $119,200."
