Job Title: Executive Assistant – West Allis, WI or Madison, WI

Job Summary: The Executive Assistant is responsible for supporting the CEO and COO primarily and providing additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and operations run efficiently.

Objectives:

Maintain and refine internal processes that support high-ranking executives companywide and coordinate internal and external resources to expedite workflows Manage communication with employees by liaising with internal and external executives on various projects and tasks Oversee and lead the Project Coordinator Team and ensure company standards are being met Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld Provide high-level administrative support and assistance to the CEO, COO and/or other assigned leadership staff Support corporate initiatives Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization CRM Budget Watch Power BI Smartsheets Organize complex calendars and schedules, resolving any scheduling issues Assist with Human Resource initiatives Maintain contact with local schools Attend Career fairs Plan events both internally and externally Collaborate with corporate on Marketing materials for the company Manage sensitive matters with a high level of confidentiality and discretion - especially decisions directly impacting the operations of the company Other additional duties assigned by the executive team

 Qualifications:

Minimum 5 years of high-level administrative support and assistance High School Diploma or equivalent required. Bachelor’s degree from a four-year college or university, or 5+ years of related experience and/or training. Excellent verbal and written communication skills. Must have experience with Smartsheets and Power BI Must be able to handle confidential information. Must be organized, detailed and able to prioritize tasks.
