The Executive Assistant provides a wide range of administrative support duties for the Executive Management Team.

This role requires an individual who is exceptionally skilled at providing administrative support to individuals at the executive management position level This role acts as the primary point of contact to the CEO and the Executives, interacts and communicates with internal and external individuals including those at the executive management to the Board of Director levels. As such, this role requires an individual with an exceptional ability to exercise a very high degree of tact, discretion and judgment, an exceptional ability to conduct and present oneself in a highly professional manner, exceptional interpersonal skills and exceptional ability to maintain a very high degree of confidentiality. KEY DUTIES & RESPONSIBILITIESProvides a wide range of administrative support duties to the CEO and the Executive Management Team Exercises an exceptional degree of judgment, tact and discretion in communicating and interacting with internal and external individuals at all position levels including those at the executive management as well as Board of Director levels Handles information including those of exceptional confidential nature. Maintains an exceptional degree of confidentiality Coordinates corporate social responsibility committee Leads, organizes and coordinates events Coordinates activities, information and all other requirements of the CEO and the Executives with various individuals Drafts correspondence and communication for the CEO and the Executives’ review Receives and screens visitors, telephone calls, emails and correspondences on behalf of the President and the Executives. Responds to inquiries, provides information and refers inquiries to appropriate sources Schedules and arranges meetings, travel and events on behalf of the President and the Executives. Maintains the President and the Executives’ calendar of activities Files and maintains documentations Gathers, extracts, consolidates and/or summarizes information into reports Assembles and distributes presentations, reports and all other types of documents which includes those of exceptional confidential nature Completes expense reimbursement forms for processing Liaises with suppliers to exchange, clarify or request for information, goods or services. Places orders, tracks and maintains inventory of supplies Other duties assigned KNOWLEDGE & SKILLS
High school diploma plus completion of a relevant office administration related course, or equivalent work experience More than 5 years of progressively advanced administrative support work experience. Experience in providing administrative support to a team of executives including the President, preferred Exceptionally skilled at providing administrative support to individuals at the executive management level. Exceptional ability to conduct and present oneself in a highly professional manner Exceptional interpersonal skills Exceptional ability to interact, communicate and deal with individuals at all position levels including those at the executive management and Board of Directors levels Exceptional ability to exercise a very high degree of tact and discretion Exceptional ability to maintain a very high degree confidentiality Exceptional ability to exercise good judgment Exceptional administrative, coordination and organizational skills Exceptional time management, multi-tasking and prioritization skills An exceptional degree of client-service orientation with a genuine interest in assisting others Advanced proficiency with MS Word, MS PowerPoint, MS Outlook along with the ability to quickly learn other software applications
