Executive Assistant

Required Qualifications;

 

 

Bachelor's degree Proven experience as an executive assistant or in a similar role. Strong proficiency in office software, including MS Office. Fluency in English Excellent written and verbal communication skills. Exceptional organizational and time-management abilities. Discretion and trustworthiness due to exposure to confidential information. Ability to work independently and proactively solve problems. Professionalism and a strong sense of responsibility. Flexibility to adapt to changing priorities and schedules.

Knowledge of the company's industry and operations may be beneficial.

 

Areas of Responsibility:

 

Calendar Management:

Coordinate and manage the executive's schedule, including scheduling meetings, appointments, and conferences. Prioritize and organize the executive's calendar to optimize time management. Ensure the executive is well-prepared for all appointments with necessary materials and information.

Effective Time Management:

The executive assistant should help the executive manage their time more efficiently. This includes scheduling appointments, prioritizing tasks, and ensuring that the executive's calendar is well-organized.

Travel Arrangements:

Make travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries. Handle visa applications and other travel-related documents for General Manager.

Streamline Communication:

Manage and screen phone calls, emails, and other correspondence. Respond to routine inquiries and prioritize messages for the executive's attention.

Document Management:

Create, edit, and proofread reports, presentations, and documents with a high degree of accuracy. Maintain organized digital and physical filing systems, ensuring easy retrieval of information.

Meeting Support:

Coordinate and attend meetings, taking minutes and distributing meeting materials. Follow up on action items and deadlines resulting from meetings. Ensure meeting rooms are prepared and equipped as needed.

 

Confidentiality and Trust:

Maintaining a high level of discretion and trust is crucial. The executive assistant should handle sensitive information with care and professionalism.

Adaptability and Problem-Solving:

The executive assistant should be adaptable and able to solve problems independently, especially when faced with unexpected challenges or changes in priorities.

Project Assistance:

Assist in project management, research, and data analysis as needed. Help prioritize and manage tasks and deadlines.
