Location: Staines UK - Hybrid Role (3 days in office, 2 days remote)
About the Role:
We are looking for a highly organised and proactive Assistant to join the executive team of a fast-paced and dynamic fintech organisation. Acting as the right hand to the Senior Executive Assistant and providing key support to 1-2 Executives, you will play a vital role in ensuring seamless operations at the executive level.The ideal candidate will be resourceful, adaptable, and comfortable managing a varied workload where no two days are the same. As a highly trusted individual, you will handle confidential material daily, requiring discretion, professionalism, and a calm, collected approach. You will take ownership of a wide range of responsibilities, ensuring the smooth running of executive support functions. Success in this role requires someone who is not afraid to roll up their sleeves to get things done.
Key Responsibilities:
Support 1-2 Executives and Senior Executive Assistant in daily operations
Coordinate meetings, events and travel, including creating detailed itineraries and managing bookings for cars, restaurants and hotels
Work with the travel agency to arrange seamless travel plans
Drive projects, create presentations and reports, and conduct research
Liaise and collaborate with internal and external stakeholders, board members and external clients
Manage diary and inbox, ensuring your executive(s) stays on top of priorities
Oversee expense reporting and other general office administration
Prepare for meetings by conducting client research, creating agendas, and taking minutes during meetings
Maintain and organise files and documents
Help manage the office and ensure smooth administrative processes.
