The Position
We are hiring for an Administrative Assistant to support the Pittsburgh Branch. The role will also support the Baltimore Branch, remotely, with similar responsibilities. This position requires the ability to manage multiple priorities, anticipate needs, and independently handle a wide variety of tasks and decisions. The ideal candidate must be able to provide personalized and confidential executive assistance with discretion and judgement, display a high degree of professionalism when dealing with key executives and business partners, and be able to work independently. The position may also provide occasional support to business segment leaders within the Pittsburgh Branch.
Chubb’s Pittsburgh Branch is an 80 person operation with staff representing all lines of underwriting as well as claims and risk engineering. The branch works with more than 100 agents in Western Pennsylvania and West Virginia, and generates more than $270 million in written premiums annually. The branch is located in downtown Pittsburgh.
Chubb’s Baltimore Branch is a 12-person operation with more than $200 million in written premium. The branch is located in Columbia, Maryland and oversees Chubb’s operations in that state.
Responsibilities
Participate in planning and provide administrative support for branch meetings, initiatives, and special events. Assist with creating effective presentations, reports, and other internal and external communications. Support facilities-related activities for the Pittsburgh Branch Schedule and coordinate travel arrangements Prepare and submit expense reports Assist with meeting preparation and scheduling Respond to regularly occurring requests for information Maintain a proactive diary of items, including proactive support and follow-up items as needed. Maintain schedules and calendars. Assist with agency appointments, licensing, and coordination agency support. Coordinate, plan, and lead branch social, volunteer, and holiday events. Perform other duties as assigned.Requirements
Proficiency in Microsoft Word, PowerPoint, Outlook, Excel, and travel and expense systems.Excellent organizational and time management skills, including the ability to multitask, independently prioritize work in a high-volume environment, meet deadlines, and exercise excellent decision-making skills.Strong written and verbal communication skills and proven ability to build relationships internally and externally.Demonstrated ability to serve as a key administrative resource, including the ability to research inquiries and provide accurate and timely responses.Strong interpersonal skills and the ability to communicate with all levels of the organization.Ability to gather and summarize data for reportsAbility to find solutions to various administrative problems and to prioritize work.Proven ability to work independently and to be a self-motivator.
