This position, Executive Assistant, will report directly to the Chief Digital Officer and provide personalized human-centered support. Key responsibilities include but are not limited to calendar management, travel arrangements, expense reporting, presentation preparation, project management of key initiatives as well as support daily time management. This individual is a highly professional and efficient worker, capable of balancing multiple tasks and showing dedication to their work. They excel in fast-paced environments and have a proactive approach in anticipating business needs and making recommendations.

Highlights of your role

• Maintains professional appointment schedule by coordinating multiple calendars/ schedules, acting as a liaison between internal and external contacts in planning and scheduling meetings, video/teleconferences, and travel for CDO. Resolves schedule conflicts and manages the intricacies of frequent adjustments of schedules.


• Provides meeting support to the VP of IT and the Senior Director Digital Products and Engineering, including facilitating coordination of meeting materials, technology needs/tech support, food/beverage catering, participant travel arrangements, and venue coordination.


• Conserves CDO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.


• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, graphics, and meeting minutes on occasion.


• Offers counsel and supports key organizational / Technology initiatives.


• Proactively anticipates needs and makes arrangements to ensure effective time management of work and family.


• Prepares meeting agendas, presentation decks


• Collects data, prepares, and analyzes Technology organization reports, including summary financial and resource capacity information


• Onboarding support: support onboarding of new team members, coordination of first few weeks, travel arrangements to Warroad, awareness/understanding of technology organization and processes/practices


• Manage various department and staff Microsoft Teams channels, folders, and content


• Handles submission of CDO’s expenses.

• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Teams (team setup/management, channel management, content management, Live Meetings); willingness and ability to utilize AI enablers such as (and including) Microsoft CoPilot

Also want to make sure you have

• High school diploma (Bachelor’s Degree preferred)


• Minimum of 5 years of senior executive-level administrative support experience
