Executive Assistant
**Job Description** Holland America Line has been exploring the world since 1873. We’re looking for an amazing Executive Assistant to fill this role. This is a hybrid, in-office role. You’ll work in person at our Miami Office Tuesday to Thursday each week. You’ll be responsible for providing support to the SVP of Information Technology in addition to other team members within the HAL/SBN IT organization, which includes 3-4 VPs. The Executive Assistant assists the team with administrative tasks and special projects to achieve maximum efficiency and meet department and company objectives. The Executive Assistant will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Here’s a summary of what Holland America Line is looking for in its Executive Assistant Is this you? **Responsibilities** + Manage an extremely active calendar of appointments, compose and prepare correspondence that is sometimes confidential, arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings including handling information of a highly confidential and critical nature on a regular basis. + Schedule demanding internal and external meetings, adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering. Acts as a "gate-keeper" by managing and organizing calendar including using discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement by the executive leadership. + Assists with various finance related items including processing expense reports and reconcile and track monthly credit card statements and expenditures. Code all department invoices, route for appropriate approval, tracks invoice payments and maintains budget spreadsheet for review with department management. Sets up all department vendors in vendor maintenance system, complying with multi-step process per company policy. + Acts as a company resource subject matter expert, understanding what company resources are to be contacted for various issues – onboarding/offboarding, systems access, travel, finance (budget, pcards) etc. – and directing leaders and employees as appropriate. + Respond and follow up on managers behalf, delegate tasks to manager's leadership team where applicable. Monitors progress on departmental projects; assists to facilitate the timely and successful completion of the project. + Contributes to departmental goals and has solid understanding of policies and procedures. + Other appropriate duties as assigned. + Ad hoc projects as requests **Requirements** + Completion of a technical school or equivalent combination of education, training and experience required. + 5 -7 years’ experience in an administrative assistant role, preferably supporting senior level management. + Ability to prioritize and manage multiple tasks simultaneously to meet deadlines. + Ability to maintain high levels of confidentiality, accuracy, and attention to detail. + Strong written and verbal communication skills + Proficient in the use of MS Office 365 (Outlook, OneDrive, SharePoint Online, Word, Excel and PowerPoint) required. + Discretion and confidentiality **What You Can Expect** + Cruise and Travel Privileges for You and Your Family + Health Benefits + 401(k) + Employee Stock Purchase Plan + Training & Professional Development + Tuition & Professional Certification Reimbursement + Rewards & Incentives + Base Hourly Range: $24.62 to $33.22. The range is applicable for the labor market where the role is intended to be hired.
