Purpose of the position:
To support the National Director in managing the office effectively and efficiently in linking the governance, strategic, leadership and operational roles, and ensuring a good management of the secretariat, reception and visitors.
Major Responsibilities:
Manage the ND’s agenda to ensure that good performance is achieved through results, and documentation of these is kept and shared with partnership. Manage incoming and outgoing mail (classify, archive) and arrange ND’s travels within and outside the country.
Welcome and orient visitors as well as receive and transmit telephone calls to the National Director and ensuring the smooth running of formal meetings and events of the National Office.
Ensure that statutory documents of the organization are available and updated Ensure full compliance with partnership standards and procedures in the key areas identified for the change process in order to re-establish confidence with the communities, region, SOs and partnership at large.
Organize/coordinate Advisory Council meetings, assist in the preparation of agendas ensure timely reporting for the Board, ND and Region, delivery of documents, decisions of the Board (clear and accurate recording, follow-up on agreed actions and reports on the issues).
Support ND to monitor implementation of management development goals and plans to reach the child well being.
Monitor key outcome indicators/timeliness for the strategic planning processes to ensure timely consolidation and submission of quality National office operating plans.
Participate in SMT and SLT strategic planning and review meetings to ensure a timely report and a good follow-up on outstanding issues and communicate them accordingly.
Review all contracts and other documents (other than P & C) for WVS before signing by ND (agreements, contracts, memorandum of understanding for projects of World Vision).
Follow up peer reviews implementations to comply with partnership standards and procedures.
Represent the ND in national and international forums/meetings in order to keep WV Chad abreast with other organizations best practices within and outside the partnership.
Qualifications: Education/Knowledge/Technical Skills and Experience
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
Minimum Qualifications required : Bachelor degree in business administration or equivalent.Experience: At least three years in governance activities with a good knowledge of the humanitarian worldPreferred: Master I in business administration or equivalentTechnical Skills & Abilities:Computer Skills
Good planning and organizational skills
Excellent communication skills in both English and French.
Ability to maintain effective working relationships with all level of staff, WV Chad Board and other partners
High level of confidence and confidentiality
Multi-disciplinary aptitudes
