Job Description

Position: Executive assistant PCA BU

Context

In this position, the Executive assistant will work under the management of the PCA BU VP and he/she will work closely her/his Management Team with a specific focus on internal communications and engagement projects. The person will be exposed to the various aspects of communications including content writing, digital communication, event organization, video production and administrative tasks. He/She will also support employee engagement, recognition programs and support internal communication plan.

 

Purpose

The Executive assistant works closely with the PCA BU VP to organize and optimize the management of his/her activities :  

He / she assists the VP in a broad sense to facilitate the implementation of his/her missions, takes charge of organizational tasks, finds information and transmits it and resolves practical questions to facilitate the exercise of responsibilities management of the VP.

He/she also performs the interface with other internal (Business Unit / Business Global Unit) and functional (Corporate / HR / Finance / Communication, etc.) departments, and internal and external suppliers or customers.

He/she supports and develops communications initiatives in order to increase employee engagement starting with her/his organization, as well as to support Nexans transformation.

 

Areas of responsibility

Organize the schedule and agenda of the VP Prepare, control and provide the documents necessary for its mission Responsible for all mail flow and various contacts on behalf of the VP Organize and coordinate internal and external information, sometimes confidential, related to the functioning of the VP Attend meetings and write all necessary communication support (reports, minutes, notes, etc.) Organize business trips and meetings of the VP, filter telephone calls, direct contacts, etc. Management of the leadership team routines / budget Contribute to the design, update and centralization of tools and dashboards Create content and publish news in French and English related to her/his scope Ensure part of the community management of the internal social network (Viva Engage) Provide assistance to build & implement  Internal Communication Plan Be part of project team to embody Group level (Act, Safety, NLV…) Events organization: Management Convention, Live Chats, Webcasts, video/photo shootings, Viewing parties, IC Forums, Team buildings… Propose new ideas, initiatives to develop engagement

Required skills and qualifications

Confirmed experience - 5 years minimum. Experience as Management Assistant Very good writing skills and written and oral expression in French and English Rigor, sense of priorities and organization, work autonomy, disciplined in execution and project follow-up Ability to work in a in a dynamic, complex, international environment  Ability to take initiatives and report on one's activity in a spontaneous and synthetic way Ability to adapt to change and deal with unforeseen situations Know how to manage its activity with a strong reactivity within the given deadlines in relation with several key interlocutors Discretion / Very good interpersonal skills / Autonomy / Ability to anticipate / Strength of proposal / Sense of listening / Confidentiality, etc… Autonomous – Curious – Creative – Enthusiastic Good knowledge of the Office 365 suite including collaborative tools (Viva Engage, Teams,…)
