Job Summary:
The Executive Assistant will perform administrative and office support activities for our Executive Leaders for our Chandler, AZ facility.
Essential Functions:
Proactively manage Outlook calendar and regularly perform schedule maintenanceSchedule internal and external meetingsManage mail and package deliveryCoordinate appropriate materials for meetings, appointments and presentationsCoordinate complex global and domestic travel arrangements; may involve organizing multi-city travel schedules/itineraries, and travel documents (Visas, passports)Compile, create and maintain various reports, databases and charts using software applicationsPartner with management to build a collaborative working environment while promoting leadership, exercising good judgment and professionalismTrain and mentor other Administrative Assistant employeesAny other task assigned by supervisor or managementNon-Essential Functions:
Identify opportunities to improve and streamline the quality and efficiency of work and aid management in the implementation of organizational changeMinimum Qualifications:
Experience: Five (5) or more years of experience supporting an executive level position(s)Knowledge: High level MS Office proficiency (Outlook, Word, Excel and PowerPoint), ability to edit Word/PPT documentsSkills/Abilities: Strong customer service, interpersonal, and leadership skills; Self-directed and able to perform assignments independently; Demonstrated pro-active approach and flexibility with change; Ability to multitask and prioritize a heavy workload; Ability to establish and maintain effective working relationships with internal staff and outside professionals, keeps information confidential and always remains professional.· Education/Certification: Two-year degree or equivalent, Bachelor’s degree preferred
Preferred Qualifications:
· Executive or senior level administrative /project management experience in a business environment
