Executive Assistant
Job Description

Position Summary:

As the Executive Assistant, you will serve as the primary point of contact between the President/CEO of Onin Staffing and external constituents on all matters. This includes managing information flow, organizing and coordinating schedules, and coordinating trade shows and other company events. You will also assist with internal coordination of schedules as needed.

Position Responsibilities:

Provide a “gatekeeper” and “gateway” role in a judicious manner between the President and all constituents, acting as the point of contact.Prioritize conflicting needs; handle matters expeditiously and proactively, following through on projects to successful completion, often under deadline pressures.Work closely with the President to keep him informed of upcoming commitments and responsibilities, including the nature or content of upcoming meetings before the meeting, and following up appropriately.Act as a “barometer”, having a sense for the issues taking place in the environment and keeping the President updated.Assist with the preparation of various company reports.May assist in maintaining the company website.Maintain executives’ schedules, arrange meetings and appointments, and provide reminders.Coordinate catering activities for meetings and special events, and make travel arrangements for executives.Coordinate and assist in administrative activities and reporting across multiple departments.Manage company events including trade shows and trainings.Work with leaders to manage internal and external company communications.May assist with other related administrative duties, including legal-matter-related tasks.Attend meetings to assist and take notes.Run errands as needed.Maintain discretion and confidentiality at all times.Handle other tasks and administrative needs as they arise.

Qualifications, Skills & Requirements:

Extensive knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.At least 3 years of experience in executive-level administrative support, preferably supporting a C-Level Executive.An Associate’s degree is preferred.Excellent organization and time management skills.Team-oriented and dependable.Ability to use independent judgment in solving complex issues.Problem-solving and analytical skills.Strong attention to detail.A positive attitude and strong work ethic.Excellent verbal and written communication skills appropriate for a wide variety of audiences.Versatile, flexible, and agile to shift between projects and activities as priorities change.Ability to work well in a fast-paced, dynamic environment.High tolerance for stress.Ability to interact at an executive caliber.

Ability to work under pressure.Ability to sit for long periods of time.Ability to operate a computer keyboard, mouse, and other computer components.
