Job Title: Executive Assistant to the CEO

Job Description

The Executive Assistant to the CEO serves as a personal and confidential assistant to the Chief Executive Officer. This role involves performing a wide variety of administrative and office management services. The Executive Assistant will manage schedules and travel arrangements for the CEO, facilitate effective workflow and communication within the CEO's office, and identify opportunities to enhance efficiencies in processes or through the use of technology. The position is located in Arlington, VA, and requires office presence five days a week.

ResponsibilitiesAnticipate scheduling needs, analyze schedule requests, resolve scheduling conflicts, prioritize meetings requests, and coordinate schedules for meetings and appointments.Plan travel strategically for multiple events to ensure effective use of time and respond quickly to schedule changes.Manage meetings logistics and provide ongoing assessments of travel and meeting activities.Keep thorough and accurate records of interactions with outside individuals through letters, phone calls, and meetings.Collaborate and coordinate closely with two other Executive Assistants in the CEO office to ensure effective coordination of schedules, communications to key stakeholders, planning logistics for key events, and effective support for the Board of Directors.Manage all correspondence to the CEO, ensuring timely responses to inquiries and developing draft communications and correspondence.Coordinate schedules and meetings with staff members, advise staff of travel plans and appointments, and gather supportive information and materials.Manage accurate lists of stakeholder groups and distribute regular and routine communications regarding travel and other updates.Develop and foster relationships and build contacts to arrange high-level advocacy meetings.Provide administrative support for various Board of Director committees, including scheduling meetings, preparing agendas, and posting materials on Diligent.Propose and plan events, large meetings, and programs, ensuring smooth and effective logistics.Plan and track expenditures for travel and expenses, providing strategic analysis of travel budget and key performance metrics.Provide support on new projects or significant initiatives in the CEO office as assigned.Essential Skills8 years of administrative support experience with at least 3-4 years supporting at the executive level (VP of operations, Executive directors, etc.).Experience with travel arrangements and calendar management (MS Office Outlook required).High School Diploma or GED required; Associate's degree preferred.Additional Skills & QualificationsExperience with Concur for expenses is a huge plus.Familiarity with WorkDay is a plus.Strong administrative skills including scheduling, calendaring, office management, and documentation management.Proficiency in Microsoft Outlook suite of products.Pay and Benefits

The pay range for this position is $120000.00 - $125000.00
