Executive Assistant
Description We are seeking an Executive Assistant to join our team in Philadelphia, Pennsylvania. As an Executive Assistant, your primary role will be to provide administrative support to the leadership team in a local private school. This includes managing communication channels, coordinating meetings, drafting memos and newsletters, and handling travel and expense reports. What you get to do every single day: • Offer administrative support to key leadership members, acting as the first point of contact for phone and email enquiries. • Manage incoming and outgoing mail and packages to ensure smooth communication. • Handle calendar management for the leadership team, ensuring all appointments and meetings are efficiently scheduled. • Coordinate meetings, including catering arrangements when required. • Liaise with the board of directors, sending out meeting agendas, packets, and calendar invites. • Draft and distribute office memos and newsletters, ensuring clear and effective communication within the organization. • Handle data entry tasks and maintain spreadsheets for efficient record keeping. • Assist with the preparation and management of travel arrangements and expense reports. • Undertake additional administrative tasks and projects as required. Requirements Other requirements for the Executive Assistant position include and are not limited to: • Minimum of 2+ years of experience in an Executive Assistant role or similar position • Proficiency in using ADP - Financial Services software for financial management • Experience with Cisco Webex Meetings for facilitating virtual meetings and conferences • Knowledge of Concur for travel and expense management • Familiarity with CRM systems for customer relationship management • Proficient in using Kronos Timekeeping System for efficient time tracking • Experience with About Time software for work management • Excellent calendar management skills with the ability to coordinate complex scheduling • Strong communication skills, both written and verbal, for clear and effective correspondence • Experience in setting up and managing conference calls • Ability to handle correspondence professionally and confidentially.
