Job Summary:
Robert Half is seeking a resourceful and detail-oriented Executive Assistant to provide high-level administrative support to executives at a prominent tax firm. The ideal candidate will be a polished professional with excellent organizational skills and the ability to handle sensitive information with discretion. This role requires someone who can anticipate needs, manage multiple priorities, and act as a trusted partner to the executive team.
Key Responsibilities:
+ Executive Support:
+ Manage complex calendars, schedule meetings, and coordinate travel arrangements.
+ Prepare and edit correspondence, presentations, and reports on behalf of executives.
+ Act as a gatekeeper, screening calls and emails and prioritizing executive tasks.
+ Meeting Coordination:
+ Organize and prepare for meetings, including agendas, materials, and follow-up documentation.
+ Attend meetings to take minutes and track action items as required.
+ Communication & Liaison:
+ Serve as the primary point of contact between executives, internal teams, and external clients.
+ Foster professional relationships by providing timely responses to inquiries.
+ Project Management:
+ Assist with the planning and execution of special projects and initiatives.
+ Ensure deadlines are met and deliverables are completed to high standards.
+ Office Management & Administrative Tasks:
+ Maintain confidential files and records in an organized manner.
+ Manage expense reports, invoices, and other administrative documentation.
Requirements
Requirements:
+ Proven experience as an executive assistant or in a similar high-level administrative role.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Strong organizational skills and meticulous attention to detail.
+ Exceptional written and verbal communication skills.
+ Ability to prioritize and multitask in a fast-paced environment.
+ High level of professionalism and discretion when handling sensitive information.
+ Familiarity with tax or financial services (preferred but not required).
