Job Description
This position provides highly confidential, complex, and responsible administrative and analytical support to the CEO. The role involves interactions with high-level external sources, elected officials, and the general public, requiring considerable discretion and independent follow-up. The Executive Assistant will research and collect data for reports and correspondence, compile a variety of documents, memos, and reports for various stakeholders, and exercise judgment to reflect the executive's style and agency policy. Additionally, this position is responsible for serving as the public records and public meetings officer, ensuring compliance with relevant laws.
Responsibilities
+ Provide complex executive support to the Chief Executive Officer, including report generation, correspondence, review of communications, scheduling of trainings and travel, and serving as a liaison with other departments and outside agencies.
+ Review professional service invoices for legal, financial, and architecture services, and assign expenses to general ledger cost centers.
+ Assist the CEO in preparing materials, reports, schedules, and documents for all Board Meetings of the Board of Commissioners and affiliate Board of Directors.
+ Handle the logistics of planning various Board Meetings, including interacting with Board Members to ensure in-person quorum.
+ Attend all Board Meetings to take minutes, transcribe minutes for the CEO, and assist other Board Members with specific requests.
+ Act as Public Records and Public Meetings Officer, monitoring compliance with the Public Records Law and Open Public Meetings Act.
+ Conduct research and data collection on special assignments and projects, track legislation, and coordinate responses to inquiries from other departments.
+ Responsible for website content updates, including state-required Public Notices.
+ Serve as team leader for or personally carry out special studies, projects, or reports; serve on special task forces and committees; make recommendations on administrative or operational policies, procedures, and systems; and prepare operating instructions, research reports, policy and procedures statements, budgets, and other written materials.
+ Administratively manage all file management and tracking.
+ Establish a tracking system for all pending projects.
+ Organize monthly senior management meetings.
+ Perform other related duties as assigned.

Work Environment
The Executive Assistant will report directly to the CEO/President and will work in a small team environment. The role requires close collaboration with the CEO, providing direct support for various administrative and executive tasks.
Pay and Benefits
The pay range for this position is $25.00 - $27.00
