Executive Assistant
Job Description

Zendesk is looking for a full-time, highly organized Executive Assistant to work closely with and primarily support a Senior VP and VP (along with light-touch support for three additional VPs) within the Finance and Strategic Operations Organization! You will coordinate and co-manage all meeting logistics, communications, and associated tasks, and be ready to assist in all matters that require your executives' attention. You will learn about the functional and business context, be part of a tight-knit team, and learn adjacent skills to run special projects as requested for the Finance and Strategic Operations team. This role is non-exempt and follows a hybrid work model, requiring in-office attendance at our Madison, WI office two days per week.

Excellent verbal, written, and organizational skills are a must. The ideal candidate should also have a proven track record of success in supporting multiple C-level executives in a fast-paced, multifaceted work environment. You promote positive energy with an approachable attitude, gifted with the ability to handle challenging situations with grace and tact and the appropriate level of urgency and proficiency. You are able to handle sensitive and confidential matters with unwavering integrity and ethics at all times.

Responsibilities:

Proactively maintain calendars and daily schedules for your executives, fielding and prioritizing requests that require attention

Have a thorough understanding of exec’s priorities and workload to predict, prioritize and make recommendations

Support your executives in staying connected as an Executive Sponsor with key Zendesk customers & the respective account team

Collaborate closely with other EAs to align schedules

Ensure and maintain the confidentiality of all appropriate communications, be it written or verbal

Handle emails and communications when necessary and communicate with both internal and external parties with a high level of professionalism and diplomacy

Manage all travel and expenses for the executives in a proactive, fiscally alert manner

As a member of the oCFO, partner not only with your executives but also other cross-functional leadership to push projects forward

Assist with various team meetings and events including, as needed, handling logistics, meeting invites, catering and meeting notes, etc

Keep detailed records on project statuses, including actions, owners & due dates

Assist in documenting new processes as they come up

Manage ad-hoc projects as requested by executives or oCFO

Maintain a positive working relationship with all members of Zendesk, including our executives and EAs

Requirements

At least 3-5 years of experience supporting multiple C-level executives in a fast paced and high-growth environment

Experience in Finance or a tech/SaaS environment is preferred

Outstanding time management skills with demonstrated ability to manage competing priorities and re-prioritize

Ability to work in a fast-paced, ever-changing environment

Highly professional, organized and detail-oriented

Highly proficient with all Google Suite applications

Outstanding project and event management skills

BA/BS degree preferred

This is a hybrid role requiring in-office attendance at our Madison, WI office two days per week.

The US annualized base salary range for this position is $36.06-$54.33. This position may also be eligible for bonus, benefits, or related incentives. While this range reflects the minimum and maximum value for new hire salaries for the position across all US locations, the offer for the successful candidate for this position will be based on job related capabilities, applicable experience, and other factors such as work location. Please note that the compensation details listed in US role postings reflect the base salary only (or OTE for commissions based roles), and do not include bonus, benefits, or related incentives.
