Executive Assistant

Responsibilities include:

Perform confidential clerical and administrative duties, ensuring efficient office operations. Proactively manage executive calendars, including scheduling, conflict resolution, and meeting confirmations. Organize and maintain documentation, initiating follow-up actions as necessary. Ensure office cleanliness, organization, and up-to-date content in shared spaces. Conduct independent research to resolve inquiries, seeking assistance when needed. Plan and coordinate large in-office and off-site events and activities. Compile, analyze, and summarize information for presentations. Communicate new policies and procedures effectively. Gather information as directed and coordinate off-site meetings and events. Manage inventory of branded merchandise and office supplies, ensuring orderly maintenance and timely reorders. Support management and department staff as requested. Organize correspondence and facilitate interdepartmental coordination.

Required Skills & Experience:

4+ years of experience supporting C-level executives, with a strong background in administrative roles. 6+ years of experience in similar environments, adept at collaborating with senior leaders. Excellent verbal and written communication skills. Proficient in productivity tools, including Webex. Ability to thrive in fast-paced settings while managing multiple priorities. - Skilled in developing and documenting processes. Strong organizational and multitasking abilities, with a focus on meeting deadlines. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint). Capable of producing high-quality reports and presentations. Proven ability to work independently and as part of a team, managing confidential matters with discretion. Assertive, creative, and innovative problem-solver with solid decision-making skills. Familiarity with departmental operations and company procedures.

 

Education:

High school diploma or equivalent required; some college courses or specialized secretarial training preferred.
