Executive Assistant

The Executive Assistant is responsible for providing administrative support and project management to the Chief Operations Officer (COO). This role involves working with various team members to collect documentation and support the work of the COO. The Executive Assistant will accompany the COO to internal and external meetings, preparing minutes, reports, and documenting next steps. A wide degree of creativity, flexibility, and latitude is expected.

Responsibilities

Create and execute a variety of administrative tasks to support the work of the COO.Manage the day-to-day calendar of the COO.Handle email and telephone communication for the COO.Work with various department staff to collect information and supporting documents for the COO.Route work between various department staff for efficient project completion.Convey projects, changes, and updates to appropriate team members.Prepare minutes and reports; distribute them internally and externally as necessary.Resolve and/or escalate issues as needed.Assist the COO with clerical tasks such as faxing, making copies, screening calls, and correspondence (responding independently when possible).Assist with audit preparation.Perform complex and confidential administrative functions, including developing and typing written correspondence, memos, purchase requisitions, payment requests, and other department forms and documents.Organize programs, events, meetings, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.Ensure compliance with departmental policies.Track and coordinate projects to ensure prescribed activities are carried out according to specified objectives.Attend project meetings, follow up on assigned tasks, and communicate the status of projects to the supervisor.Provide assistance to the COO in the analysis, implementation, and monitoring of departmental programs; maintain a variety of records.Collect organization data and conduct analysis involved with budget proposals.Maintain accurate project records, documents, and supporting material for the department and ensure their proper disposition.

Additional Skills & Qualifications

Associate degree in business or related field; BA or BS preferred.Two years of demonstrated and related work experience within healthcare administration OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.Strong computer skills including Word, Excel, and PowerPoint.Bilingual skills are a plus.A valid California Driver’s license with an insurable driving record.

Work Environment

Office environment. This is a Federally Qualified Health Center (FQHC) serving a population of people who are uninsured or insured with government supplemented benefits (Medi-Cal, Medicaid, etc.). They provide healthcare for an underserved population. Pay and Benefits

The pay range for this position is $40.00 - $40.00
