We are seeking a highly organized and dynamic individual for a dual-role position that combines executive administrative support and office activity coordination. The role is split equally between providing executive assistance to Vice Presidents and Directors (50%) and managing office events and activities at our North Carolina manufacturing site (50%). The ideal candidate will possess exceptional multitasking abilities, attention to detail, and a proactive approach to handling both executive priorities and site-wide initiatives.
Key Responsibilities:
Executive Assistant (50%):
Manage and prioritize the schedules of two Vice Presidents and two Directors, including coordinating meetings, appointments, and travel arrangements. Prepare and organize correspondence, reports, presentations, and other materials as needed. Handle confidential and sensitive information with discretion and professionalism. Serve as the primary point of contact for internal and external communications on behalf of the Vice Presidents. Monitor and respond to email correspondence, ensuring timely follow-up and appropriate action. Coordinate logistics for executive meetings, including drafting agendas, taking minutes, and tracking follow-up actions. Maintain filing systems, records, and other administrative processes to ensure efficiency and compliance. Other Executive Assistant duties as required.Office Activity Coordinator (50%):
Plan and execute site-wide events, including team-building activities, holiday celebrations, and employee recognition programs. Manage communication related to office activities through emails, newsletters, and bulletin boards. Act as the liaison for employee engagement initiatives, gathering feedback and fostering a positive workplace culture. Coordinate with vendors, manage event budgets, and procure office supplies as needed. Oversee shared office spaces, ensuring a clean, organized, and well-stocked environment. Support safety and wellness initiatives, including organizing health fairs, wellness challenges, and safety trainings. Serve as a resource for employees, addressing office-related needs or concerns.Qualifications:
Experience: Minimum of 3-5 years in an administrative or coordination role, with experience supporting executives preferred. Education: Bachelor’s degree preferred or an equivalent combination of education and experience. Skills: Excellent organizational and time-management abilities. Strong written and verbal communication skills. High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Ability to manage multiple tasks and deadlines simultaneously. Strong interpersonal skills with a focus on collaboration and customer service. Budget management and event planning experience preferred. Attributes: Discretion and professionalism when handling sensitive information. Proactive problem solver with a positive, can-do attitude. Strong attention to detail and ability to work independently.Work Environment:
This role is based on-site at our North Carolina manufacturing facility. Occasional early mornings or late evenings may be required to accommodate executive schedules or office events.
