SALARY: $76,800 - $91,200 bonus and long-term incentive eligible

ROLE SUMMARY:

The primary role of the Senior Coordinator, Executive Office, is to provide support to our CTO and CFO, based in the US CSO office in New York City. Routine responsibilities will include handling the executives’ calendars, coordinating travel arrangements and itineraries, scheduling and preparing for meetings and other events, managing the office budget, processing the expenses and leading critical special projects at the discretion of the leadership team. This role has exposure to senior leaders within our organization and provides excellent growth opportunities within the world’s largest beer company. The ideal candidate will have excellent communication skills, the ability to meet tight deadlines and can adapt to constantly evolving priorities and has a strong mastery over the Microsoft Office Suite: Excel, Power Point, and Word. JOB RESPONSBILITES:

Coordinate a complex schedule for senior level executives

Prioritize a timely approach to projects and daily work

Strategize annual meeting cadence

Manage calendars with the ability to prioritize meetings and last-minute requests

Arrange internal and external meetings including all details (zoom, meeting room)

Plan and coordinate conferences/events that bring people together from all over the country including meeting venue, food/beverages, technology needs, schedules, travel, costs

Process and approve expense reports (executives and direct reports)

Arrange domestic and international travel and transportation. And provide detailed travel itineraries for every business trip.  Assist with Passport and visa requests

Manage office/break room needs/supplies (inventory, ordering, costs)

Order/retrieve lunches as requested

Organize and file documents, manage task lists, handle telephone calls, mail, shipping and messenger runs as needed.

Maintain professionalism and strict confidentiality with all materials and requests

JOB QUALIFICATIONS:

1-3 years of project management and/or executive coordination experience

Some advanced schooling required, Bachelor's degree preferred.  

Ability to work with senior level executives

Proficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook) with an aptitude to learn new software and systems

Flexible team player that can adapt to changes in a fast-paced environment

Detail oriented and excellent verbal and written communication skills 

Strong time management skills with the ability to prioritize and coordinate multiple tasks at once

Self-motivated, high performing, multitasking individual who acts as an owner

Strong organizational and administrative skills required
