Job Description

We are seeking an Executive Assistant to provide exceptional administrative support to the Group President of Informa Connect Foodservice and our Chicago office. In this vital role, you will ensure smooth operations and serve as a key liaison, facilitating effective communication and collaboration between the Group President and the divisional leadership team. Your contributions will help the leadership team function efficiently, ultimately advancing our mission and goals. 

What You'll Do

Administrative Support

Coordinate complex executive meetings across multiple time zonesManage domestic and international travel arrangements, including accommodations and visasHandle expenses and invoice processing across multiple systemsArrange internal and external meetings, prepare agendas, and manage logisticsPrepare and edit communications, including proposals, presentations, and reports

Operational Support

Support the group president and divisional leadership team in managing projects and key initiativesMaintain and organize files, reports, and documentsBuild and maintain strong relationships with stakeholders at all levelsCoordinate social engagements and team events

Team Coordination & Initiative

Act as a liaison between the group president and key leaders across the businessHandle confidential matters with discretionAssist with special projects as directed by group president and senior leadership team

 Facilities

Oversee organization of breakroom, meeting rooms, storage areas, reception, and common areas

QualificationsExperience supporting senior executives in large, fast-paced organizationsStrong proficiency in Microsoft Office Suite and ability to adapt to new systemsExperience managing complex calendars, international travel, and expense systemsReputation for integrity, commitment to excellence, and results-driven performancePositive, energetic personality with an entrepreneurial spirit and "get things done" mentality

The range for this position is $60,000- $65,000, based on experience.
