The Executive Assistant I (Executive Assistant”) uses experience and professionalism to support executives with daily responsibilities. The position’s primary focus is to provide outstanding administrative support, while representing the Firm in a professional and positive manner. Duties and responsibilities, as they align to Ryan’s Key Results
People:
Acts as an extension of the Executive dealing with colleagues and clients in the utmost professional mannerMaintains communications (email, written, phone, and fax) while Executive is travelingMaintains a positive attitude at all times and provides assistance when other Executive Assistants are unavailable.Client:
Handles all calendar appointments and scheduling. Requires extensive coordination and follow-up to ensure all meetings are calendared properly and effectively – utilizing the best use of the Executive’s time.Organizes and prioritizes multiple tasks and completes them under strict time constraintsAnswers telephone calls, takes accurate and concise messagesManages daily correspondence and filingPossesses strong grammatical and proofreading skillReads, sorts, and distributes incoming mail. When necessary, routes client documentation to ensure timely delivery to Managers when client deadlines are involvedValue:
Handles and safeguards confidential and sensitive company and personal informationIdentifies and works to improve internal process and works to develop Firm policies as needed.Reviews and edits client-related documentationMaintains client and administrative filing proceduresAssists with other projects as neededPerforms other duties as assigned
Education and Experience:
High-school diploma or general equivalency diploma (GED) required with at least five years related executive administrative experience supporting C-suite level executives.
Computer Skills:
To perform this job successfully, an individual must have advanced skills in Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research.
Certificates and Licenses:
Valid driver’s license required and Notary Public preferred.
Supervisory Responsibilities:
This job has limited or no supervisory responsibilities.
Work Environment:
