Executive Assistant


The Executive Assistant plays a vital role in supporting C-level executives by providing personalized assistance that enhances their productivity and efficiency. This includes meticulously managing their calendars, scheduling appointments, and ensuring that their time is utilized effectively. The Executive Assistant acts as a trusted partner, anticipating the needs of the executives and coordinating various engagements to streamline their activities.
 

Ability to handle information with discretion and confidentialityFluent in English language skills (written and verbal)Ability to create various forms of communicationExcellent skills in planning and organizing and feeling comfortable dealing with complex calendars over multiple time zonesCan prioritize workload in a complex and fast paced environmentStrong organizational skills and strong attention to details and qualityExcellent communication and documentation skills, time management, and problem solving skillsFamiliarity with Office 365 tools, MS Teams, Concur, SRM, and TaleoAbility to multi-task in a fast-paced environment, including prioritizing critical tasks and following-up on less critical tasks later.Able to works independently, as well as a team player and is highly organizedMaintain high level of confidentiality and discretionHolds a degree (AA, AS, BA, BS) in business or equivalent demonstrated experience.Relevant and minimum experience of 2 years in a administration/EA capacity years executive support experience 
 

The Executive Assistant is responsible for personal assistance to C-level, which includes proper care taking of calendar and time management.

Seeks, updates and provides information, screens incoming calls and correspondence, prioritizes and responds as appropriate.Organizes meetings, meeting facilities and takes care of the follow-up activities (e.g. distributes meeting minutes and presentation materials).Further the Executive Assistant plans and arranges (complex) travel itineraries, schedules and processes expensesChecks and may approve cost center/function invoices. Gives support in producing presentation materialsArranges various external and internal events. Informs other team/department members about mutual mattersUses experience and looks for ways to develop and improve quality in processes, methods etc. where appropriateSeeks, updates and provides information through different channels, networking with other executive offices and coordinating high level meetings with customers and stakeholdersAdditionally interacts and coordinates with members of leadership team and S&C management teamResponsible for researching and compiling special reports, presentations, organization charts, etcArranging business critical internal/external events
