Executive Assistant

The Executive Assistant will report to and provide administrative support for the SVP (75%) and other Executive Officers (25%). The ideal individual will be exceptionally organized, highly adaptable and resourceful, able to manage competing priorities and very knowledgeable in the use of Microsoft document management tools. This individual will exercise great discretion, provide support with a high level of professionalism and conduct him/herself in a manner that reflects positively on the organization. Personal Attributes: + Ability to function well in a fast-paced environment + Manage sensitive matters with a high level of confidentiality and discretion + Excellent communication, interpersonal and time management skills + Ability to interact with people of all levels in a confident, professional manner + Proactive and able to take action with little direction + Ability to think outside of the box with a sense of urgency + Adept at anticipating needs and problems and get in front of them Key Responsibilities: + Provide all manner of administrative support to the SVP and other Officers + Manage multiple complex calendars, schedules and agendas + Manage healthcare visits, receipts and reimbursements + Arrange and coordinate meetings, events, etc. + Manage correspondence, including screening, responding and archiving emails + Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff + Track and prepare expenses for reimbursement + Prepare and edit reports, presentations and memos when required + Utilize Word, Excel and PowerPoint to create agendas, reports, presentations and other documents + Review documents for accuracy and clarity + Arrange travel and accommodations for executives including documentation for international travel + Assist with minor personal support + Be responsive to emails/texts/phone calls, with contact outside normal business hours (infrequent) Requirements: + Highschool Diploma/GED + 5+ years of experience in a fast-paced personal support role within an office environment + Expert level in Microsoft applications (Word, Excel, PowerPoint) + Strong written and verbal communication skills, with the ability to interact effectively across various levels of the organization + Proven ability to multitask, prioritize, and manage time effectively in a dynamic environment + Strong understanding of confidentiality and tact, exceptional time management skills and commitment to maintaining discretion + Exceptional attention to detail, follow-through, and organizational capabilities + Expert level written and verbal communication skills, including the ability to ask clarifying + Superior customer service and interpersonal skills + Proactive self-directed and creative approaches to problem-solving and decision-making + Understand Executives working styles and anticipate needs Postal Code: 77019 Category (Portal Searching): Administration and Clerical Job Location: US-TX - Houston Job Profile ID: C00278 Time Type: Full time Location Name: SCI Corporate Office
