We are seeking a talented professional with expertise in executive support, administrative management, and high-level coordination to join our team. If you have a passion for excellence and a background as an Executive Assistant, we want to meet you to discuss a position we are looking to fill in Alexandria, Virginia as a Full time Executive Assistant to support the Office of the Secretary of Defense (OSD) Joint Hypersonics Transition Office (JHTO).  This is an opportunity to have a direct impact on the success of a high-profile DoD program with Congressional mandates for the continual improvements in Dept. of Defense (DoD) Hypersonic Weapons Systems.  Our ideal candidate will have experience working as an Executive Assistant to senior DoD officials, an understanding of the DoD, and Department of Energy Hypersonics community, an understanding of the defense travel system and defense travel regulations.  

Responsibilities Manage Director’s personal calendar. Must have a strong knowledge of Microsoft Outlook Calendar functionality.Must have a strong understanding of DoD protocol when working with senior officials.Establish meetings. Prioritize and de-conflict meetings.Arrange for travel between meetings/ensure sufficient time between meetings for travel if necessary.Arrange for meeting space to include appropriate locations for classified meetings.Work with Executive Assistants of other senior officials to de-conflict calendars.Manage Classified Meetings and IssuesMust have knowledge of DoD classified processes up to and including Top Secret and Special Access Programs.Arrange for classified meetings in appropriately cleared spaces.Ensure Director has appropriate clearances for meetings.Pass classified visit requests appropriate for the level of meetings.Manage Director’s official business travelMust have knowledge of the Defense Travel System software to arrange the director’s travel.Must have a deep understanding of defense travel regulations to understand what is allowed and not allowed.Book travel and travel arrangements for both domestic and international travel, including overnight accommodation, air, and ground transportation.Manage Director’s Professional Speaking EngagementsWork with organizers of hypersonic meetings and conferences where the director, JHTO is invited to attend and/or speak.Ensure the director is confirmed, his place on the agenda, the expectations of the organizers are captured and communicated to the director, conference fees are paid, etc.Works with the Chief of Staff and JHTO to ensure any speeches, presentations, etc. are created for each event. Ensure the conference organizers receive a copy of the speech and/or presentation in a timely manner.Manage and Organize other JHTO Functions/Engagements Education/Qualifications

Required:

U.S. citizen and active Dept. of Defense Secret security clearance.Ability to commute to Alexandria, VA as needed.High School Diploma.10+ years of experience as an Executive Assistant or similar role.Extensive experience in executive-level support services, protocol, information management, and administrative support activities, including Executive Staff Support Functions, Military Protocol Information Management/Operations Support.Demonstrated ability to interface with senior leadership within the government, federally funded research and development centers, or government support/development contractors.Excellent organizational and time-management skills.Strong communication and interpersonal abilities.Proficiency in MS Office, Defense Travel System (DTS), and other relevant software.
