Your role

As an Executive Assistant, you will play a key role in supporting our commercial team, including senior leaders such as directors and C-suite executives. You’ll be responsible for managing a variety of administrative, scheduling, LOGISTICAL and operational tasks to keep the team running smoothly. Your work will directly contribute to the business goals and strategy and help executives to drive Global Relay’s growth.

Your responsibilities

Assist senior management by handling essential day-to-day administrative tasks, including organising files, managing invoices and communications to keep operations running smoothly Manage expenses and liaising with Finance team on behalf of individuals and teams e.g. Marketing Serve as a liaison between senior management (including directors and C-suite executives) and staff members, ensuring a flow of communication and managing requests and interactions efficiently Coordinate meetings by preparing agendas, taking minutes, tracking action items, and following up on outstanding tasks to ensure timely progress Take on project management responsibilities for specific initiatives, collaborating with different teams and departments to ensure successful outcomes Coordinate the schedules of senior management and manage conflicting priorities and ensure efficient time management Organise and manage business travel logistics, including flights, accommodations, and travel documents Foster strong working relationships with key departments, such as marketing and sales, to ensure smooth collaboration and effective communication Assist in planning and executing key events, such as executive briefings and marketing initiatives to ensure everything runs seamlessly Conduct research, analyse data, and prepare comprehensive reports to provide valuable insights to senior management Creating professional documents and impactful presentations, ensuring that content is clear and compelling

About you

Minimum of 2 years proven experience within an administration role Experience within B2B environment Advanced skills in Microsoft Office (Excel, Word, Outlook, etc.) Comfortable working with stakeholders, including senior management and C-suite executives Strong written and verbal communication skills with a keen eye for detail Excellent organisation and time management skills, able to juggle multiple tasks and meet deadlines Ability to work both independently and as part of a team, collaborating across functions Proactive, adaptable, and able to thrive in a fast-paced environment Strong problem-solving skills and a critical thinker

Due to the nature of this role, the hybrid model will be 4 days of in-office working and 1 day working from home.
