Job Description

Are you ready to play a key role in driving innovation within the fast-paced world of infrastructure and construction? We’re looking for a  Executive Assistant to join Informa Markets’ Infrastructure & Construction group—our largest business group with diverse profit streams across ten major events.

This role goes beyond administrative tasks; it offers a chance to be at the forefront of impactful projects and strategic initiatives that influence the industry. You will attend strategic meetings with executives to gain valuable insights into high-level planning and understand the company’s strategic goals. As a liaison between leadership and the broader team, you'll help communicate these initiatives effectively, Track project progress, and provide regular updates to the leadership team. Keeping a pulse on the projects that will continuously shape our group’s direction and success.

Role Accountability and Duties

Administrative Support:Manage and maintain the SVP's calendar, including scheduling meetings, appointments, and travel arrangements.Handle correspondence, prepare reports, and create presentations as needed.Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.Process expense reports for SVP and other senior leaders as necessary.Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner.Project Management:Assist in the management of various projects, ensuring timelines are met and deliverables are completed.Track project progress and provide regular updates to the leadership team.Coordinate with different functional groups to gather information and ensure project goals align with company objectives.Strategic Planning Participation:Attend strategic planning meetings and sessions as an observer, taking detailed notes and providing logistical support.Compile and organize information discussed in strategic meetings to assist in decision-making processes.Maintain a comprehensive understanding of the company’s strategic goals to better support the SVP and leadership team.Opportunity to travel to trade shows in varying on-site support and functional roles. High-Level Communications:Draft, proofread, and edit high-level communications, including emails, reports, and presentations.Serve as a liaison between the leadership team and external partners, including associations and key customers, ensuring effective communication and follow-up.Handle confidential and sensitive information with the utmost discretion and professionalism.Relationship Management:Build and maintain relationships with key stakeholders, both internal and external, acting as a point of contact to ensure their needs are met and their concerns are addressed promptly.

Qualifications

Minimum of three years of administrative or similar professional experienceExcellent time management skillsAble to handle confidential information with discretion and professionalismProficiency with Word, Excel, PowerPointThe ability to work well without close supervisionThe ability to multitaskKeen attention to detailStrong organizational skillsExcellent customer relations skillsThe ability to work long hours during peak business timesAbility to travel to trade shows and meetings as needed

The range for this position is $65,000- $80,000, based on experience
