Executive Assistant
Position Number: 001968 Department: Coll of Computing&Informatics (Col) Employment Type: Permanent - Full-time Months Per Year: 12 Essential Duties and Responsibilities: Key Responsibilities: + Administrative support including calendar management, email management, document management, and office management. + Schedules meetings with C-suite executives, external stakeholders advisory boards, and other key individuals and coordinates travel arrangements for the Dean. + Creates, edits, and formats documents such as letters, reports, and presentations. + Executive support includes project coordination, relationship management, stakeholder relations, and proactive problem-solving. Proactively anticipates and addresses the Dean’s needs and priorities. + Collaborates with the college and department review committees to assist the Dean with confidential personnel matters, including faculty reviews, promotions, and tenure processes. + Coordinate the events in which the dean participates. + Provides a high level of personalized support to the Dean in his/her daily activities and handles a wide range of requests and inquiries effectively and efficiently. + Possesses a high degree of discretion and confidentiality in managing sensitive matters related to the Dean’s office. Minimum Experience / Education: Required Minimum Qualifications: Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. University Preferred Qualifications: Graduation from high school and demonstrated knowledge, skills, and abilities gained through five years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and three years of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field and two years of progressively responsible administrative/office management experience; or an equivalent combination of training and experience. Preferred Education Skills and Experience: + Bachelor’s degree from an appropriately accredited institution. + Prior experience in higher education directly supporting an academic administrator. + Strong communication (both written and verbal), organizational, and planning skills. + Experience operating with a high degree of confidentiality and discretion. + Experience with travel processing and P-card reconciliation, including knowledge of related policies and procedures. + Experience with research, interpretation, and summary of information to support decision-making processes. + Prior experience with Microsoft Office Suite, Google Drive, Zoom meetings, and Concur is a plus.
