PURPOSE & OVERALL RELEVANCE FOR THE ORGANIZATION
EA to General Manager Pacific contributes the business by coordinating the GM’s needs and requirements with a mature attitude coupled with high sense of confidentiality, along with the other senior leadership team members if needed. The role is crucial for effective and smooth management agenda in the complex market.
KEY RESPONSIBILITIES
Managing GM agenda with full confidentiality and making sure the right priorities in place to support business growth
First point of contact for external/internal enquiries to the General Manager’s office.
Managing GM office teams including administrative support such as preparing agendas and taking minutes for 0% deviation from the plans
Managing general senior leadership team agenda and ensuring 100% accuracy with GM agenda
Coordinating events and managing agencies on time and quality, for the responsibility areas
Managing and overseeing travel management for GM, working with travel company locally and liaising with region.
Working for the agenda of abroad visitors and managing the representation of the country from the lens of different stakeholders
Coordinating office workflow, ensuring smooth travel and meeting management
Providing support on all administration requirements including but not limited to consolidating presentations, filing, sending and storing presentations.
General administration and support on special projects.
Complying with company policy and procedures
Active role in crisis management team where required
MINIMUM QUALIFICATIONS
Bachelor’s degree
Advanced MS Office skills
Advanced Level of Business English
10+ years of expertise in EA
Must possess the ability to effectively communicate both verbally and electronically with various levels of internal and external partners.
Ability to analyze and resolve problems through effective interface and communication.
Must be flexible with working hours and able to work under time constraints to ensure that deadlines are met.
Ability to work in a fast pace – ever changing team environment, with high detail focus
