Position Summary:

The Berklee Global Office seeks a bilingual (English and Spanish) Executive Assistant to provide support to the SVP of Berklee Global as well as the Berklee Global department assisting with administrative tasks, general business management duties, communications drafting and design and project management.

The candidate must have excellent communications skills in English and Spanish, both oral and written.

Essential Functions / Primary Duties and Responsibilities:

Communications management, including writing documents and letters, preparing presentations, and formatting documents and proposals.

Taking minutes in meetings. 

Email and calendar management, travel arrangements. 

Stationary logistics administration.

Administrative accounting tasks: credit card reconciliation, expense reports, organization of documentation.

Institutional events and coordination of institutional visits.

Project management.

Serve Berklee in other duties related to administrative work.

Knowledge and Skills Required:

Bachelor’s degree or equivalent professional experience (minimum 3 years).

Ability to communicate with administrators, faculty, staff, students, trustees and donors in a professional and sensitive manner.

Strong writing skills: ability to initiate and respond to correspondence and generate comprehensive and accurate minutes.

Excellent office and administrative skills, including typing, reception, phone, and digital files organization.

Strong computer skills and experience in word processing, spreadsheets,  databases and visual design. Experience with Google Suite is preferred.

Budget, record keeping and financial tracking skills.

Strong organizational skills: ability to balance large workload in a busy global and hybrid environment, and set and manage multiple priorities in a timely fashion.

Confidentiality: Ability to manage highly sensitive and confidential material and to use discretion in communications with students, parents, staff, faculty, and trustees.

Fluency in English and Spanish, oral and written.

Other languages a plus. 

Willingness to embrace change and comfort with ambiguity

WORK ENVIRONMENT:

This role follows a hybrid model, with an average of 2 days on site and 3 days remote. This schedule is subject to change based on the needs of division.
