Executive Assistant

We’re looking for an Executive Assistant to provide effective and timely administrative support for the VP, Head of Residential Lending and VP, Head of Retail Products & Portfolio Yield Management. This position requires a proven self-starter who takes initiative and thrives in a fast-paced environment.

Position Responsibilities:

Administrative Support:Manage routine administrative tasks, including correspondence, scheduling appointments, and coordinating meetings and travel in line with company policies.Oversee calendar management, track expenses for the VP, and handle e-mail monitoring and e-filing.Facilitate communication with internal and external contacts to arrange meetings and provide information.Material Preparation:Prepare materials for meetings, reports, and seminars, ensuring the VP has all necessary documentation and agenda items.Departmental Budget and Expenses:Verify "Performance to Plan" accuracy, address discrepancies, and process expenses and invoice payments.Employee Onboarding:Coordinate with IT, Security, HR, and Facilities to ensure new employees have IT and physical access and a well-equipped workspace.Employee Termination:Arrange with relevant departments to revoke access, recover company property, and update company databases for departing employees.

Required Qualifications:

College diploma in Administration or Business or extensive related business experience.3 plus years of administrative experience in a business environmentExcellent verbal and written communication.Proficiency with all MS Office applications including MS Word, Excel, and PowerPoint.

Technical Proficiency and Initiative:Possess a working knowledge of SharePoint, enabling effective management and organization of digital resources.A proven self-starter who thrives in a fast-paced environment, demonstrating the ability to work independently and proactively.Attention to Detail and Confidentiality:Exhibits strong attention to detail and maintains a high degree of accuracy in all tasks.Capable of handling confidential matters with discretion, ensuring sensitive information is protected.Prioritization and Multitasking:Skilled in balancing multiple priorities and projects, effectively prioritizing work to meet deadlines while delivering results.Demonstrates competencies in activity coordination and prioritization to enhance service delivery effectiveness.Interpersonal and Communication Skills:Strong interpersonal and diplomacy skills, comfortable interacting with senior management and individuals at all levels.Engages in effective business partnering to foster collaboration and achieve organizational goals.Decision-Making and Process Improvement:Authority to prioritize meetings, calls, and situations to optimize workflow.Focused on improving administrative business practices to increase overall effectiveness and troubleshoot technical issues efficiently.

Salary range is expected to be between

$53,775.00 CAD - $89,625.00 CAD
