Executive Assistant

OBJECTIVE:

Provide diversified, high quality, highly confidential administrative support to the EVP, Excess Casualty management team.  

RESPONSIBILITIES:

Proactive calendar management, gate keeping, and meeting logistics (Utilize Microsoft Outlook) Coordinate travel. Working with internal and external contacts to prepare detailed travel itineraries, coordinate commercial flights, dining, and ground transportation; prepare and process required documentation travel Develop/maintain reports Create presentations Prepare/process expense reports Handle inquires as appropriate Initiate responses to routine correspondences Order and maintain office supplies Event Planning / Meeting Coordination Initiate onboarding for new hires Process invoices for payment Order business cards Create and maintain team distribution lists, org charts, and staff contact listings Create and distribute reports and presentations internally and externally for meetings and functions.

Position Requirements:

Independent thinker with the ability to quickly gain a thorough understanding of the organization, role and objectives of the department, personnel, and policies.High degree of professionalism and dependability and a demonstrated ability to handle confidential information and work in a fast-paced environment.3-5 years of proven senior secretarial/administrative assistant experienceSuperior typing skills and clerical aptitudeSubstantial proficiency in PowerPoint, Excel, Word, and IT systems in generalExcellent communications skills, including ability to handle confidential issues, and calls/visits from senior management with poise and a strong personal presence.Ability to work with general direction, exercise discretion and set work prioritiesDemonstrated organizational skills to handle multiple projectsEffective oral and written communication skillsResourcefulness
