Executive Assistant
Description We are offering a long term contract employment opportunity for an Executive Assistant in the Healthcare, Hospitals, and Social Assistance industry in San Andreas, California. This role will primarily involve providing administrative support to the executive management team within a large medical facility. Responsibilities: • Conducting internet research and utilizing Microsoft Word, Excel, PowerPoint, and Outlook to support management tasks • Managing and coordinating schedules, including the arrangement of meetings and travel plans • Supervising other support staff and ensuring efficient workflow coordination • Handling customer relations and responding to inquiries • Preparing financial data and reports for executive review • Overseeing the setup and cleanup of conference rooms for meetings • Training the support staff and ensuring the effective use of office resources • Managing the switchboard and handling calls of varying volumes • Coordinating conference calls and ensuring smooth communication channels • Performing transcription and dictation tasks as required • Organizing and maintaining accurate records, and handling filing tasks • Ordering office supplies and managing inventory • Overseeing expense reports and ensuring accurate tracking of expenditures. Requirements • Proficient in order management and procurement of office supplies • Ability to perform transcription duties accurately and efficiently • Excellent email writing, reading, and organizing skills • Proficient in calendar and docket management • Possess shorthand writing skills • Skilled in using fax machines and managing fax communications • Efficient in filing and document organization • Capable of setting up and cleaning up conference rooms • Proficient in using Outlook for email management and scheduling • Excellent skills in Word for document creation and editing • Ability to create and edit presentations in PowerPoint • Experience in managing switchboards and handling phone lines • Excellent spelling skills and attention to detail • Typing speed of over 60 WPM • Proficient in using Excel for data management and analysis • Experience in preparing and managing expense reports • Skilled in dictation and use of dictaphone • Excellent scheduling skills and calendar management • Experience in making travel arrangements • Capable of coordinating work flow in a busy environment • Proficient in coordinating and managing conference calls.
