Executive Assistant

Your Role 

Gensler's Bogotá office is looking for an experienced Executive Assistant to provide vital administrative support to the Office Managing Directors while also playing a key role in shaping the workplace experience. This role supports two Managing Directors with all administrative needs, including calendar and schedule management, answering phones, travel arrangements, expenses and timesheets, meeting preparation, and correspondence. 

 

In addition to executive support, this position will work closely with the Office Administrator and leadership team to promote a positive, engaging, and efficient workplace environment for both collaborators and clients. The ideal candidate is highly motivated, proactive, and passionate about creating a seamless and inspiring office experience. 

 

What You Will Do 

Executive Support 

Deliver consistent, proactive, and all-inclusive support to Office Managing Directors (including timesheet reports, insurance claims, and business or personal-related tasks).

Manage calendars, schedules, and meetings, ensuring efficiency and seamless coordination. 

Handle complex travel arrangements (domestic and international), generate detailed itineraries, and proactively resolve issues. 

Manage Office Managing Directors' external board commitments, coordinate participation, and plan events/meetings as needed. 

Screen incoming client/internal calls and manage communication on behalf of the Managing Directors. 

Handle confidential and sensitive information with professionalism and discretion. 

Oversee expense reports, invoices, and procurement-related tasks in a timely manner. 

Provide support for marketing efforts, including updating presentations, newsletters, and quarterly mailings. 

Assist/cover for the LATAM Regional Managing Executive Assistant as needed. 

Serve as a backup receptionist when necessary. 

Perform additional administrative tasks as required. 

Workplace Experience & Office Engagement 

Collaborate with the Office Administrator and leadership team to ensure an engaging, well-organized, and efficient workplace environment. 

Lead initiatives that enhance workplace experience, promoting a culture of collaboration, well-being, and productivity. 

Identify opportunities to improve office operations, employee engagement, and client interactions. 

Plan and coordinate office-wide events, team activities, and engagement programs to strengthen company culture. 

Ensure the office environment reflects Gensler’s values—maintaining an inviting and professional space for employees and clients. 

Oversee office experience projects, including onboarding initiatives, office hospitality, and space utilization improvements. 

Act as a liaison between employees and leadership, gathering feedback to continuously enhance the office experience. 

Your Qualifications 

Bachelor’s degree in business administration, hospitality, event management or similar.  

5+ years of experience as an Executive Assistant supporting executive-level management in a fast-paced corporate environment. 

Passion for workplace experience—dedicated to improving the office environment and fostering a positive culture. 

Highly proficient in MS Office (Word, Excel, PowerPoint, Outlook). 

Knowledge of Adobe Creative Suite, particularly InDesign, is a plus. 

Ability to keep matters confidential and maintain a calm, professional demeanor. 

High level of professionalism with excellent written and verbal communication skills. 

Strong organizational skills and attention to detail. 

Adaptable and proactive, with the ability to anticipate needs and implement solutions. 

Strong problem-solving skills, creativity, and strategic thinking. 

Experience in event planning, employee engagement programs, or office operations is a plus. 

Exceptional customer service and interpersonal skills. 

Ability to communicate and interact effectively with all levels of management and employees.
