EXECUTIVE ASSISTANT HYBRID: On-site three days per week (Monday–Wednesday). ABOUT YOU: As an Executive Assistant, you will provide high-level administrative support to senior leadership, ensuring seamless calendar management, communication, project coordination, and logistical execution. Your ability to prioritize tasks, maintain confidentiality, and manage multiple responsibilities with professionalism will be essential in supporting leadership’s success. This hybrid role requires you to be onsite at Jostens’ corporate office a minimum of three days per week (Monday–Wednesday). YOU HAVE: Education. An AA degree in business, secretarial arts, or a related field. Experience. 8-10 years of progressively senior secretarial or administrative assistant experience in large corporate settings. Presence. Availability to work onsite at Jostens' corporate office a minimum of three days per week (Monday-Wednesday). Organization. Ability to handle multiple tasks simultaneously, prioritize effectively, and maintain strong attention to detail. Communication. Strong verbal and written communication skills to engage with internal and external stakeholders professionally. Time Management. A proactive approach to managing an executive’s time and workload with a strong sense of urgency. Technical Proficiency. Expertise in Microsoft Office Suite (PowerPoint, Excel) and Google Workspace for document management and presentations. Confidentiality. Experience handling sensitive or confidential information with discretion and professionalism. Problem-Solving. Ability to anticipate challenges and address issues before they arise. Adaptability. Comfort working in a fast-paced, ever-changing environment. YOU WILL: Manage. Oversee and prioritize the executive’s calendar, ensuring seamless scheduling of meetings, appointments, and travel while managing time zones and international coordination. Organize. Plan internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items to ensure execution. Support. Assist senior leaders in managing internal projects and priorities, tracking key deliverables, deadlines, and milestones. Communicate. Draft, proofread, and edit emails, reports, and presentations with a high level of clarity and professionalism, maintaining confidentiality. Coordinate. Arrange team offsites, client events, and corporate functions, managing logistics and ensuring smooth execution. Oversee. Assist with managing the executive’s budget, including submitting and tracking expense reports in compliance with corporate policies. Assist. Serve as a support resource for catering, mailing, and guest management when the Office Coordinator is on vacation or break. Adapt.
