Executive Assistant - Sales Team

We are looking for a highly skilled and motivated Executive Assistant to support several Senior Vice Presidents.

The ideal candidate thrives under pressure, adapts quickly in a demanding environment, and manages confidential information with discretion.

Responsibilities

Manage schedules, appointments, and global travel arrangements Arrange and coordinate meetings and events Prepare and edit correspondence, communications, and other documents Assist with Purchase Order requests and assist with administrative tasks required for budgetingFile monthly expense reports for department expensesFile and retrieve documents and reference materials Monitor, screen, respond to and distribute incoming communications Liaise with internal staff at all levels Assist leaders with preparation of PowerPoint decks when needed.Coordinate project-based work Review administrative practices and implement improvements where necessary Liaise with Ericsson Executive Team Leaders

 

Qualifications

•    At least 5 years’ experience providing administrative support at a high level 
•    Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite. 
•    Concur Software experience
•    Microsoft Dynamics AX (DAX) experience preferred
•    Knowledge of standard office administrative practices and procedures 
•    Capability to elevate the Executive Assistant role to a strategic level and lead a team of assistants within the organization to maintain the same exacting standards. 
•    Experience managing complex global travel, including preparation of necessary documentation for international travel. 
•    High aptitude for learning new tools, systems, and processes quickly, with adaptability to evolving technologies and workflows. Strong knowledge of Microsoft Office (Outlook, SharePoint, Excel, PowerPoint). 
•    Ability to anticipate needs, provide strategic insight, and act with initiative and discretion. 
•    Experience in a demanding environment with shifting priorities. 
•    Strong organizational skills with the ability to prioritize and manage multiple tasks effectively. 
•    Excellent written and verbal communication skills; customer service-focused with excellent phone and email etiquette. 
•    Impeccable diligence in scheduling, documentation, and travel arrangements. 
•    Ability to manage and prioritize multiple requests simultaneously while maintaining quality and urgency. Effective time management across multiple time zones is essential. 
•    Professional maturity and poise in all interactions and events. 
•    Ownership of tasks and projects with minimal supervision, anticipating needs and creating solutions that support office goals. 
•    Highest level of integrity and professionalism, managing confidential information with discretion and sound judgment. 
•    Experience in the technology industry is a plus. 
•    Occasional travel may be required.
