Our client in downtown Pittsburgh is looking for an Executive Assistant for a contract to hire opportunity. This position is a versatile, service-oriented individual who thrives in a fast-paced environment. Hours: 7:30AM-3:30PM. Monday - Friday (hybrid model, must be in Pittsburgh). Pay ranges on experience $22-29
Manage the schedule of the President & CEO by thinking ahead, planning and scheduling meetings, conference calls, and making travel arrangements, including international travel.
• Schedules, coordinates, and prepares for internal & external meetings, presentations, and events. Also coordinates meetings with staff, including individual meetings. When necessary, reserves meeting rooms, coordinates room set-up and clean-up, prepares and distributes agendas, and arranges food, beverage & AV as needed.
• Assist the President & CEO in the timely management of all communication, both written and via telephone, email, and voice mail with a variety of constituents.
• Expense management, including processing travel expense reports, travel advance requests and reconciling President & CEO Key Bank statements in Nexonia.
• Handles confidential and sensitive material on a regular basis. Reads and distributes incoming correspondence. Schedules and coordinates meetings both on and off property, including Board of Director meetings and standing committees (Executive, Audit, Finance, Personnel/Compensation, and Marketing) Has access to a significant amount of sensitive and confidential information.
• Obtains signatures when needed for a variety of documentation (invoices, checks, contracts, etc.).
• Drafts, edits and formats letters, memos, presentations, and other documents.
• Prepare the agendas for, coordinate, and communicate information regarding management, Board and Committee meetings.
• Take, transcribe, and distribute meeting minutes for the Board and Standing Committee Meetings.
• Maintains all confidential executive files and records.
• Sends out and collects annual Conflict of Interest forms to the Board of Directors, and targeted staff.
• Reviews calendar and outstanding projects on a weekly basis with the President & CEO to prioritize and ensure that all due preparation is completed.
• Effectively and efficiently interacts with all levels of staff, Board Members, government officials, city officials, and community leaders.
• Establish and maintain filing and electronic filing systems.
• Other assigned duties and special projects as directed by the President & CEO.
Requirements • Demonstrated proficiency in ADP - Financial Services is required.
• Must be familiar with Cisco Webex Meetings for organizing online meetings and webinars.
• Experience using Concur for managing travel and expenses is essential.
• Should possess strong CRM skills to manage customer relationships effectively.
• Proficiency in Kronos Timekeeping System for accurate time tracking is necessary.
• Knowledge of About Time software for project management is required.
• Must have excellent calendar management skills to organize and schedule appointments.
• Strong communication skills, both written and verbal, are essential.
• Experience in managing and coordinating conference calls is required.
