About you   

You are a highly organized and efficient professional who thrives in fast-paced environments. With a knack for managing multiple priorities, you excel in supporting executives with their day-to-day operations, from coordinating schedules to facilitating key meetings and events. Your ability to handle sensitive information with discretion and diplomacy is unmatched, and you maintain a positive and proactive approach to every task. Your strong communication skills, attend to detail and solid experience with Microsoft Office Suite make you an ideal fit for this role. You also bring experience working with SharePoint and a strong understanding of VISIO, which would be advantageous. You are adaptable and comfortable with occasional interstate travel to support the needs of the business.

 

About the role   

As the Executive Assistant based in Canberra, you’ll be the primary support for the Managing Director and the geographically dispersed Executive team. This role involves comprehensive administrative support, managing the daily activities of these executives and ensuring smooth coordination with other team members and the stakeholders across multiple time zones in Australia, the USA and UK. You will manage complex calendars, travel arrangements, and ensure all meetings and events are organized efficiently while maintaining effective external stakeholder relationships. Working closely with the wider executive team, you will track progress, workflows, and handle minutes and agendas. Your ability to multitask, prioritize effectively, and maintain smooth operations for the executive team will be critical to the success of this role.

 

Duties include

Master complex diary and calendar management Prepare and proof documents, presentations and reports to a high standard Organise travel and related arrangements (flights, accommodation, transport, and itineraries) Liaise with internal and external stakeholders to ensure effective communication and workflow Assist in preparing agendas and taking meeting minutes

 

To be successful in this position

Located within the Canberra LGA Ability to obtain and maintain a Commonwealth Defence Security Clearance as defined by AGSVA guidelines. Tertiary qualifications in relevant Business disciplines would be desirable
