Executive Assistant
Description Regional Bank is hiring an Executive Assistant. 3 Months Contract to Hire! Full-time onsite in Columbus - This is an Executive Administrative Assistant for two executives. Candidates MUST have experience supporting multiple executives at once. Targeting 5+ years of experience in an administrative support role to senior executives. Excellent calendar management is a must - this is a Sr. Lead executive administrative assistant, but also looking for someone that has solid project coordination skills. Strong PPT skills - will be responsible for creating agendas, slide decks, etc. Additionally, will use Excel and Outlook. Superb communications skills - written and verbal, proactive, self-sufficient, ability to prioritize and adjust accordingly. Job Description Provides executive administrative support for two senior executives by performing an unlimited range of complex administrative and office management duties. Duties & Responsibilities: Administrative Support • Supports two senior executives and provides basic administrative functions for members of their leadership teams. • Manages complex calendars, including coordinating travel accommodations, proactively identifying and communicating approaching deadlines, mitigating scheduling conflicts, and scheduling designated working time for executives. • Partners with executives to ensure their timely response to pending approvals, email inquiries, and deadlines. • Assist with special projects and perform special tasks, as needed. Meeting Management: • Ensures executives are well-prepared for meetings, including providing meeting materials and any pertinent information regarding the meeting topic(s). • Manages logistics for internal and external events including, securing meeting room/venue, catering needs, contract negotiation, AV/technology needs, and overnight accommodations. • Takes meeting minutes, distributes in a timely manner. Communication: • Handles confidential information with discretion and professionalism. • Draft, and at times respond to, correspondence on behalf of the executives. • Creates, edits, and proofreads supporting documents, spreadsheets, PowerPoints, and other information for use by the executive’s team. • Maintains and establishes reports or files. • Organizes or directs workflow. Collaboration: • Works together with segment administrative team, C-suite administrative team, and key business partners to execute a variety of tasks including meeting coordination, meeting material collection/distribution, and bank-wide initiatives. • Provides administrative help to company policies, procedures, and processes to all team members. • Performs office management responsibilities, utilizing internal systems and processes, such as: ordering supplies, processing expenses and vendor invoices, onboarding new colleague equipment, and coordinating external guest access. • Serves as onboarding liaison for new colleagues. • Other duties as assigned. Skills Microsoft, Calendar management, Office suite, Administration Top Skills Details Microsoft,Calendar management,Office suite,Administration Additional Skills & Qualifications Basic Qualifications: • High School diploma • Minimum of five (5) years' experience in executive administrative support role to senior executives. • Proficiency in Microsoft Office Suite (Word, Access, Excel, PowerPoint, Outlook, Teams, and SharePoint) • Highly organized and forward-thinking, with attention to detail. • Strong time management skills, with the ability to effectively handle and prioritize multiple tasks and projects concurrently, in a fast-paced environment. • Strong problem-solving skills, including the ability to present solutions to identified problems. • Professional level business acumen, communications skills, and demeanor - with the ability to effectively engage with all levels of the organization. Preferred Qualifications: • Executive Administrative certification or training (CEAP, CAP) • Previous experience supporting a senior executive in a large institution. Experience Level Expert Level Pay and Benefits The pay range for this position is $28.00 - $35.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
