The position offers a compensation range of $82,000-$87,000 with quarterly incentive opportunities. This is a hybrid role based at our Downtown Manhattan headquarters.
SUMMARY
The Executive Assistant provides high-level administrative support to the President and CEO, and facilitates and supports their work with the board of directors and senior management teams. Coordinates executive outreach, external relations efforts, and stakeholder management. Manages the executive office operations and oversees special projects.
ESSENTIAL FUNCTIONS
+ Works closely with the President to keep them informed of upcoming commitments and responsibilities; follows up appropriately.
+ Manages an active calendar of appointments; assists in completing expense reports; composes confidential correspondence; arranges travel plans, itineraries, and agendas; compiles documents for travel-related meetings.
+ Facilitates smooth communication between the President's office and internal departments.
+ Assists in preparing meeting materials, coordinating logistics, and maintaining records and communications; aids in the preparation and organization of materials and reports; follows up on action items.
+ Ensures confidentiality; adheres to the AAA's information security and data privacy policies and procedures.
+ Helps manage relationships with key external stakeholders, including scheduling meetings and maintaining contact information.
+ Supports special projects; prioritizes conflicting needs; handles matters expeditiously and proactively; follows through on projects to successful completion, often under deadline pressure.
+ Coordinates cross-divisional travel and outreach plans; assists in preparing agendas for senior management team meetings.
+ Oversees the efficient operation of the executive office, including managing office supplies and equipment.
+ Maintains the President's updated bio and responds to requests for materials regarding the President and the organization.
EDUCATION AND EXPERIENCE
Bachelor's Degree in a legal or business-related discipline with 7 years of relevant experience; or equivalent mix of education and work experience.
KNOWLEDGE, SKILLS, & ABILITIES
+ Ability to compose clear and effective reports and business communications.
+ Excellent verbal and written communication skills for professional interactions with internal and external parties.
+ Intermediate proficiency with Microsoft Excel, Word, Outlook, and PowerPoint; ability to become proficient with web-based case management systems.
+ Strong organizational and multitasking skills with the ability to prioritize effectively in a fast-paced environment.
+ Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
+ Excellent interpersonal skills and the ability to interact professionally with diverse groups, including executives, board members, and external stakeholders.
+ Ability to anticipate needs and proactively solve problems.
