Overview:
As an Executive Assistant, you will report to the Director and serve as their key liaison between project teams, ensuring smooth communication and coordination. You will manage the permitting process, assist with pre-construction tasks, and provide essential administrative support to the construction team.
Requirements:
3-5 years of administrative experience supporting at the Director or VP-level.Demonstrated experience with Excel and Yardi.Demonstrated experience coordinating and scheduling projects throughout all phases.Must be experienced with calendar management and document management at a high-level.Previous experience within construction, architecture, engineering, real estate or property management preferred.Strong administrative support and project coordination skills.Responsibilities:Coordinate and manage the permitting process for all construction projects, including new home construction and renovations.Work with local municipalities and governing bodies to ensure that all necessary permits are obtained in a timely manner.Track the status of permits and follow up as needed to prevent delays in project start times.Assist in the preparation and organization of pre-construction documents, plans, and schedules.Ensure that all pre-construction tasks, such as site assessments and utility coordination, are completed prior to the start of the project.Work with project managers to confirm that all necessary materials and resources are available for the commencement of construction.Provide administrative support to the Director and the construction team, including scheduling meetings, preparing reports, and maintaining project documentation.Facilitate communication between different departments and external stakeholders to ensure that everyone is aligned on project goals and timelines.Assist in coordinating and tracking project budgets, timelines, and milestones.Proactively follow up with team members, contractors, and other stakeholders to ensure that all tasks are completed on schedule.Maintain a detailed task list and project calendar to track progress and identify any potential delays.Pay and Benefits
The pay range for this position is $75000.00 - $80000.00/yr.
