About This Job

Axos Bank is seeking an Executive Assistant who will report to the CFO & CAO of Axos Financial, Inc. (“ Company”). This individual will perform general administrative duties for the CFO and CAO, including managing the Executives’ schedules, arranging travel, preparing reports, and coordinating meetings. This person will be involved in the administration of the Junior Staff Accountant (JSA) and intern programs, the administration of the AMEX program, ensuring compliance for all management directives, SOX narratives, and PROMS for the department, and follow up on key tasks for the CFO/CAO. Confidential information may be shared during strategic planning sessions and reporting to the Board and other leadership. Independent judgment and strong organizational and communication skills are critical to plan, prioritize and organize diversified workload.

Responsibilities:

Schedule and organize complex activities such as meetings, travel, board meetings, conferences and department activities for all members of the departmentPrepare and submit Executive’s expense report by collecting necessary documentation and ensuring accuracy in compliance with the Company’s travel and expense policyOrganize internal events such as private dinners and receptions of less than 50 attendeesGreet and check-in prospects, clients, candidates, and other guests for meetings and eventsCreate and edit various documents and decks for internal and external presentations and eventsManage the administration of the JSA program by pre-screening candidates, organizing rotations, assigning mentors, ensuring consistency of goals across participants, organizing trainings (including content and scheduling), interviewing candidates, and reporting feedback and improvements to the CFP/CAOReconciling expense reports and coordinating with accounts payable and Corporate Cards; managing the Corporate Credit Card program for the company including following up on complianceAssist in Accounting and Finance vendor management (ensuring proper purchase orders created, notifying team of relevant changes)Ensure necessary tools and supplies are available to the accounting team as neededCreate and develop visual presentations and spreadsheetsRe-organize X drive and create autonomy and instruction on maintenanceDraft presentations and research items including Proofreads copy for spelling, grammar and layout, making appropriate changesExecuting special projects as necessary and administrative tasks as neededAssist in onboarding new hires as needed.Maintain a daily physical presence in the San Diego Office

Qualifications:

Bachelor's degree (preferred)2+ years of administrative or office experienceStrong verbal and written communication skillsProficient in MS OfficeAble to handle sensitive information with confidentiality and utmost discretionAble to multitask and adapt to rapidly changing situations
