The part-time Executive Assistant provides high-level administrative and organisational support to the Vice President, North Europe Zone, Marine and Offshore division alongside the Zone HR Business Partner and Zone Business Support Manager. Responsibilities include calendar management, travel planning, expense reporting, meeting coordination, and general office administration.

 

This is a part-time position, 20 hours per week.

 

Principal Accountabilities:

Manage the executive's calendar, schedule appointments, and coordinate meetings Make travel arrangements including booking flights, hotels, and ground transportation Prepare expense reports and receipts for the executive Organise and maintain the executive's files, both electronic and physical Provide general administrative support such as managing correspondence, and ordering supplies Organise management meetings, including hotel arrangements Organise sales meetings, including travel Manage Sales Force administration for the North Europe Zone Preparing agenda and slide decks in preparation for executive’s upcoming meetings Assist with special projects and ad-hoc tasks as needed Serve as a point of contact and liaison with internal and external stakeholders

Job Knowledge, Skills & Experience:

3-5 years of experience as an executive assistant or in a similar high-level administrative role Excellent organizational, time management, and prioritization skills Strong verbal and written communication abilities Proficient with Microsoft Office suite (Outlook, Word, Excel, PowerPoint) Ability to work independently and proactively Discretion and confidentiality when handling sensitive information
